Customer Emails Through Rex — Draft, Review, Send

4 min read Beginner For Owner, Manager, Staff Updated 1 day ago
Quick Answer
Ask Rex to draft a customer email, then review and edit it on the compose page before sending. Rex never sends emails automatically — you always have the final say.

Customer Emails Through Rex

Rex can draft customer emails for you — check-in reminders, balance notices, follow-ups, or any custom message. You always review and edit before sending. Rex never sends emails on its own.

How It Works

Step 1: Ask Rex to Draft

Tell Rex what you want to say and who it's for:

  • Send a check-in reminder to Sarah Jones about her 10am booking
  • Draft a balance reminder for the customer with $200 outstanding
  • Message the Garcia family about the weather forecast for Saturday

Step 2: Rex Creates the Draft

Rex:

  1. Finds the customer's booking
  2. Writes a professional email based on your request
  3. Shows you a preview in the chat with the subject, recipient, and message summary
  4. Gives you a Review & Send link

Step 3: Review & Edit

Click the link to open the compose page. You'll see:

  • To — The customer's email (from the booking)
  • Subject — Editable subject line
  • Message body — Editable message text
  • Booking context — Customer name, unit, date shown for reference

Edit anything you want — the subject, the wording, the tone. It's your email.

Step 4: Send

Click Send Email when you're satisfied. The email goes out immediately with your business branding, booking details, and contact information included automatically.

What You Can Ask Rex to Draft

Type Example
Check-in reminders Remind Sarah Jones about her 10am check-in tomorrow
Balance reminders Send a payment reminder to the customer with $200 due
Weather updates Let the Garcia family know about Saturday's weather
Thank you notes Send a thank-you to the Johnson family for their rental
Custom messages Draft a message to John Brown about our new pontoon

Starting from a Booking Page

You can also start a draft directly from a booking or cart page without going through Rex Chat:

  1. Open the booking in the dashboard
  2. Click Email Customer
  3. This opens the compose page with the customer pre-filled
  4. Write your subject and message
  5. Click Send Email

Smart Email Safeguards

Duplicate Prevention

Rex checks if a similar email was already sent recently. If a balance reminder went out today, Rex will let you know:

A balance reminder was already sent to this customer today. Want me to draft one anyway, or wait a few days?

Email History

When Rex looks up a booking, it shows any emails already sent about that record — so you can see what the customer has already received before sending another message.

Email Details

  • From: [email protected] (on behalf of your business)
  • Branding: Your business name, booking details, and contact info are included automatically
  • Tracking: Every email sent is logged on the booking record

Tips

Let Rex Write the First Draft

Rex writes professional, friendly emails. Start with Rex's draft and tweak to match your voice — it's faster than writing from scratch.

Include Context in Your Request

The more you tell Rex, the better the draft:

  • Good: Remind Sarah about her check-in tomorrow at 10am and mention to bring sunscreen
  • Basic: Email Sarah

Always verify the To field on the compose page before sending.
