📖 Glossary

Definitions of key terms and concepts in RecSystems.

A

A booking disappeared from the calendar
Search by confirmation number. Check status filters (may be hiding cancelled/completed). The booking may have been modified to different dates.
Are there any monthly fees?
There are no monthly subscription fees for basic RecSystems access. You pay platform fees on transactions and standard payment processing fees through Stripe.
Are there monthly subscription fees?
No. RecSystems has no monthly fees. You only pay the 10% when you process bookings.
Are there volume discounts?
The 10% rate is fixed regardless of volume. There are no automatic volume tiers, but enterprise arrangements may be discussed with our team.

C

Can I collect deposits?
Yes. You can require an advance payment deposit where customers pay a portion at checkout and the balance later. You can also configure security deposit amounts in your account settings - this information appears in FAQs and customer communications, but security deposits are collected manually by your staff (not automatically charged by RecSystems).
Can I create bookings manually?
Yes. You can create bookings from your dashboard for phone reservations, walk-in customers, or any other situation.
Can I export my data?
Yes. You can export your booking data, customer information, and financial reports at any time.
Can I test the system before going live?
Yes. Your booking site can be in 'preview' mode while you set up. You can also use Stripe's test mode to practice payments without real charges.
Can I use my own domain name?
Yes. You can connect a custom domain like book.yourbusiness.com instead of using the default RecSystems URL.
Changes aren't saving
Look for red error messages near form fields. Ensure all required fields are filled. Check your internet connection. Try refreshing and making the change again.
Customer double-booked somehow
This shouldn't happen with normal flow. Check if one booking was created through the dashboard while customer was checking out. Review timestamps to understand the sequence.
Customer says they were charged but booking isn't confirmed
Check Stripe dashboard for the payment. If payment succeeded, the booking should update within 1-2 minutes. If booking is still pending, contact support with the payment ID.

D

Do I get a website?
Yes. Every RecSystems account includes a professional booking website where customers can browse your inventory and make reservations.
Do I need any technical skills?
No. RecSystems is designed to be easy to use with no technical knowledge required. If you can use email and browse websites, you can use RecSystems.
Do I need to add all my equipment at once?
No. Start with your most popular items and add more later. You can always add, edit, or remove units as your needs change.
Does the 10% include credit card processing?
Yes. The 10% platform fee includes Stripe's credit card processing fees (typically 2.9% + $0.30). You're not charged separately for payment processing.

H

How do customers book?
Customers visit your booking website (provided by RecSystems), browse your available inventory, select their dates and items, and pay online. You receive a notification for each new booking.
How do customers pay?
Customers pay online with a credit or debit card when they make their booking. RecSystems uses secure payment processing to protect card information.
How do I contact support?
Email [email protected]. We typically respond within 1-2 hours during business hours (Monday-Friday, 9 AM - 5 PM CST).
How do I get a transaction report for accounting?
Go to Dashboard → Payments, set your date range, and click Export CSV. This includes gross amounts, fees, and net amounts for each transaction.
How do I reset my password?
Click 'Forgot Password?' on the login page, enter your email, and check your inbox for the reset link. The link expires after 6 hours.
How does availability work?
RecSystems automatically tracks what's available based on your inventory and existing bookings. When a customer books an item, it's automatically unavailable for those dates.
How does RecSystems pricing work?
RecSystems charges a platform fee (percentage of each transaction) rather than a monthly subscription. This means you only pay when you make money. The default rate is 10%, but this may vary based on your agreement.
How does the fee slider affect my 1099-K?
The 1099-K reports gross payments including customer-paid service fees. If customers pay the fee, your 1099-K will be higher than what you received. Deduct platform fees as a business expense.
How long does it take to set up?
Most businesses can start accepting bookings within 15-30 minutes. The Quick Start Guide walks you through the essential setup. You can always add more details and fine-tune your configuration later.
How long does setup take?
Most businesses can be ready to accept bookings in 15-30 minutes. You can start simple and add details later—don't feel you need to perfect everything before going live.

I

I can't find a booking
Use the search bar with confirmation number, customer name, email, or phone. Check that you're looking at the correct date range. The booking may be under a different status filter.
Is my data secure?
Yes. RecSystems uses industry-standard security practices including encrypted data transmission, secure payment processing, and regular security audits.
Is there a setup or onboarding fee?
No. There are no setup fees, onboarding fees, or upfront costs. You pay nothing until you start making money.

M

My page won't load or is stuck
Try refreshing the page (Ctrl/Cmd + R). If that doesn't work, clear your browser cache, or try a different browser. Check your internet connection if issues persist.

P

Payment seems stuck. What now?
Wait 30 seconds—payments sometimes take a moment to process. Then refresh the page. Check if the booking shows as 'Reserved' (payment may have succeeded). If still stuck, try the payment again.

T

The card was declined. What should I do?
Card declines are controlled by the customer's bank, not RecSystems. Ask the customer to: try a different card, call their bank to authorize the transaction, or use a different payment method (cash/check for manual payments).

V

Verification keeps failing
Refresh the page and try the verification again. If issues persist, try a different browser or disable browser extensions that might interfere.

W

What does RecSystems charge?
RecSystems charges 10% per booking. This is a flat rate that includes credit card processing. There are no setup fees, monthly fees, or contracts.
What if I enter the wrong password multiple times?
Your account won't lock, but you should use 'Forgot Password?' to reset if you can't remember your password.
What is RecSystems?
RecSystems is an all-in-one platform for rental businesses. It helps you manage inventory, accept online bookings, process payments, and run your rental operation efficiently. RecSystems is designed for businesses that rent boats, UTVs, golf carts, bikes, kayaks, and other recreational equipment.
What is the platform fee?
The platform fee is 10% per booking, which includes credit card processing. This is an all-in fee - you're not charged separately for Stripe's payment processing. The fee is automatically deducted from each payment.
What should I set up first?
Start with: 1) Create a fleet (category for your equipment), 2) Add units (individual rental items), 3) Set up timeslots (rental schedules), 4) Configure pricing, 5) Connect Stripe for payments. The Quick Start Guide walks you through each step.
When do I receive my money?
Payouts are processed according to Stripe's standard schedule, typically within 2-7 business days. You can view your payout schedule in your payment settings.
Who issues my 1099?
Stripe issues the 1099-K, not RecSystems. Since payments flow through Stripe to your bank account, Stripe is the payment settlement entity responsible for 1099-K reporting.
Who pays the fee - me or my customers?
You control this with a fee slider in your dashboard. By default, about 70% is passed to customers (shown as a service fee at checkout) and 30% is absorbed by you. You can adjust this to any split you prefer.
Why does it show no availability when I know there should be?
Check: 1) Timeslot validity dates (may be seasonal), 2) Day-of-week settings, 3) Unit quantity vs. existing bookings, 4) Minimum/maximum duration requirements.
