Location fees let you charge for delivery, transportation, or pickup at specific locations. You can set fixed fees or use mileage-based pricing that calculates delivery costs automatically.

Fee Types

RecSystems supports two types of location fees:

Fixed Fee

A flat charge for picking up at this location.

Best for:

  • Docking or facility fees
  • Simple pickup charges
  • Locations with consistent costs

Example: $25 pickup fee at the marina

Mileage-Based Fee

A base fee plus per-mile charges based on customer distance.

Best for:

  • Delivery services
  • Mobile meeting points
  • Distance-dependent costs

Example: $30 base + $2.50/mile for delivery

Setting Up Fixed Fees

To add a fixed fee to a location:

  1. Go to Locations
  2. Click on the location
  3. Find the Pricing section
  4. Enter the Fee amount (e.g., $25.00)
  5. Save changes

How it works:

  • Fee appears in the cart when customer selects this location
  • Same fee regardless of rental duration
  • Multiplied by booking quantity

Setting Up Mileage-Based Fees

For delivery or distance-based pricing:

Step 1: Enable Mileage Pricing

  1. Go to Locations
  2. Click on the location
  3. Find the Pricing section
  4. Toggle Mileage-based pricing to ON

Step 2: Configure Rates

How It Calculates

The formula:

Total Fee = Base Fee + (Distance - Free Miles) × Per-Mile Rate

Example:

  • Base fee: $30
  • Per-mile rate: $2.50
  • Free miles: 5
  • Customer distance: 15 miles
Fee = $30 + (15 - 5) × $2.50
Fee = $30 + 10 × $2.50
Fee = $30 + $25
Fee = $55 total

Customer Experience

With mileage pricing:

  1. Customer selects the delivery location
  2. Prompted to enter their address
  3. System calculates the distance
  4. Fee displays in the cart
  5. Customer sees total before checkout

When Fees Apply

Location fees are added when:

  • Customer selects that location during booking
  • Booking includes a unit assigned to that location
  • The location has a fee configured

Fees appear:

  • In the cart summary
  • At checkout
  • On confirmation emails
  • In booking details

Multiple Locations with Different Fees

You can have various fee structures across locations:

Free main location:
Set fee to $0 for your primary pickup point

Premium locations:
Higher fees for convenient or premium spots

Delivery zones:
Mileage pricing for delivery areas

Staff favorites:
Some locations free, others with fees based on operational costs

Changing Fees

To modify a location's fee:

  1. Go to Locations
  2. Click on the location
  3. Update the fee amount or settings
  4. Save changes

Note: Fee changes affect new bookings only. Existing bookings keep their original fees.

Removing Fees

To make a location free:

  1. Go to Locations
  2. Click on the location
  3. Set fee to $0 (or delete the fee amount)
  4. If mileage-based, toggle OFF
  5. Save changes

  • Price delivery fees to cover actual costs
