Dashboard Overview - Navigate RecSystems Like a Pro

The RecSystems dashboard shows a calendar view of bookings. For daily operations, go to Bookings → Cart Orders to see Today's Rental Activity with pickups, overdue items, balances due, and active carts. Use the navbar to access Bookings, Account settings, and more.

Dashboard Overview

The RecSystems dashboard is your operational command center. It shows everything you need for daily operations—arrivals, departures, payments, and urgent items—all in one place.


Dashboard Layout

When you log in, you'll see the main dashboard with these sections:

At the top of every page:

Today's Rental Activity

Access via Bookings → Cart Orders in the navbar. This page shows Today's Rental Activity with four metric cards:

Pickups Today

Number of pickups scheduled for today. Shows None scheduled when empty.

Overdue Pickups

Bookings where the customer hasn't picked up yet. Shows Action required! badge when items need attention.

Balance Due

Carts with outstanding balances to collect.

Active Carts

Shopping carts currently in progress (customers actively booking).

Tip: Click any card to filter the list below to that category.


Today's Queue

The main section showing rental activity for today.

Filtering the Queue

Use the tabs and filters to show:

  • Today — Today's activity (default)
  • Upcoming — Future scheduled activity
  • All Carts — All carts regardless of date

Quick filters include: Pickups Today, Balance Due, Active Carts, Out on Rental, Overdue Pickups, Needs Attention, Completed (7d)

Queue Columns

Column Description
When Scheduled time for pickup or return
Customer Customer name (click to view details)
Unit What they're renting
Location Pickup/return location
Status Current booking status
Actions Available actions for this booking

Available Actions

Action When Available What It Does
Check In Arrivals Mark customer as picked up
Check Out Returns Mark equipment as returned
View Cart Any Open full booking details
Message Any Contact the customer

Payments Queue

Shows carts with balances due today.

What You'll See

  • Cart confirmation number
  • Customer name
  • Balance due amount
  • Number of bookings in the cart

Collecting Payment

Click Collect Payment to:

  1. Open the cart details
  2. Process the remaining balance
  3. Use card on file or enter new payment

Carts are sorted by highest balance due first, so urgent payments appear at the top.


Holds Expiring Soon

When customers start the booking process but haven't completed payment, their selection is held temporarily. This section shows holds that will expire soon.

Time Window

Select how far ahead to look:

  • 30 minutes
  • 60 minutes
  • 90 minutes
  • 120 minutes

What You Can Do

  • Extend — Give the customer more time to complete their booking
  • View Cart — See what they're trying to book

Color coding:

  • 🔴 Red = Expiring very soon
  • 🟡 Yellow = Expiring within the hour
  • 🟢 Green = Still has time

Overdue Returns

Shows bookings past their scheduled return time where equipment hasn't been checked in yet.

Taking Action

For each overdue return:

  1. Contact the customer if needed
  2. Click Check In when they return
  3. Add any late fees if applicable

The Due column shows how long the return is overdue.


Capacity Snapshot

A quick view of your occupancy for the next 8 hours.

What It Shows

  • Hour-by-hour booking counts
  • R = Reserved (upcoming)
  • O = Out (currently rented)

Click Availability for the full availability dashboard.


Status Overview

Five boxes showing your current operational status:

Status Meaning
Reserved Today Confirmed bookings starting today
Returns Today Bookings ending today
Out Now Currently rented units
Overdue Past-due returns
Active Holds Bookings in progress (not yet paid)

Recent Activity

Shows the latest 8 booking updates across your account:

  • New bookings
  • Status changes
  • Modifications

Click Open on any item to view details.

Tips for Daily Operations

Morning Routine

  1. Check the KPI cards for today's volume
  2. Review Arrivals for upcoming check-ins
  3. Check Holds Expiring for pending bookings
  4. Prepare equipment based on the queue

Throughout the Day

  1. Process check-ins as customers arrive
  2. Monitor Overdue Returns for late equipment
  3. Collect Balance Due payments
  4. Handle Holds before they expire

End of Day

  1. Ensure all returns are checked in
  2. Review any outstanding balances
  3. Check tomorrow's arrivals in the calendar

What do the metric cards show?
The four cards show: Pickups Today (scheduled arrivals), Overdue Pickups (customers who haven't picked up), Balance Due (outstanding payments), and Active Carts (in-progress bookings).
How do I find a specific booking?
Use the search bar on the Cart Orders page (Bookings → Cart Orders). Search by name, email, or phone number.
Where do I see today's activity?
Go to Bookings → Cart Orders in the navbar. This shows Today's Rental Activity with all pickups, returns, and payments due.
