# Unit Management

## Prerequisites
- Employee, Admin, or Super Admin role
- At least one [fleet configured](fleet-configuration.md)
- Understanding of your inventory structure
## Understanding Units vs Fleets
### Fleet
A category of similar equipment (e.g., "Jet Skis", "Pontoon Boats")
### Unit
Individual items within a fleet that customers can rent:
- Specific make/model/year
- Unique features or specifications
- Individual pricing (through timeslots)
- Own availability calendar
## Adding a New Unit
### Step 1: Navigate to Fleet
1. Go to **Dashboard → Fleets**
2. Click on the fleet where you want to add units
3. Click **Add Unit** button
### Step 2: Enter Basic Information
**Required Fields:**
- **Make** - Manufacturer (e.g., "Yamaha", "Sea-Doo")
- **Model** - Specific model name
- **Engine** - Engine size/type (e.g., "1800cc", "300HP")
- **Name** - Auto-generated from make/model/engine
- **Capacity** - Maximum number of people
- **Quantity** - How many identical units you have
**Example:**

Make: Yamaha
Model: VX Cruiser
Engine: 1100cc
Capacity: 3
Quantity: 4
```
### Step 3: Add Photos
Units can have multiple photos:
1. Click **Add Photos** or drag images
2. First photo becomes the cover image
3. Supported formats: JPG, PNG
4. Recommended size: 1200x800px minimum
5. Images are automatically optimized
**Photo Tips:**
- Show unit from multiple angles
- Include action shots if possible
- Highlight unique features
- Ensure good lighting
- Remove any personal items
### Step 4: Content Generation
RecSystems uses AI to generate compelling content:
**Auto-Generated Content:**
- SEO-optimized title
- Engaging headline
- Detailed description
- Key features list
- Meta description
**To Generate Content:**
1. Save the unit first
2. Content generates automatically
3. Review and edit as needed
4. Or write your own content
### Step 5: Set Availability
Units inherit timeslots from their fleet, but you can:
1. Enable/disable specific timeslots
2. Set custom pricing per timeslot
3. Control seasonal availability
## Managing Existing Units
### Viewing Units
From the fleet page, you see:
- Unit name and specifications
- Cover photo thumbnail
- Capacity and quantity
- Published/archived status
- Quick action buttons
### Editing Unit Details
1. Click on any unit to view details
2. Click **Edit** to modify:
- Specifications
- Photos
- Content
- Status
### Unit Status Options
**Published** (Default)
- Visible on booking site
- Available for reservations
- Shows in search results
**Archived**
- Hidden from customers
- Existing bookings honored
- Preserves historical data
- Can be restored anytime
## Organizing Units
### Display Order
Units can be reordered within their fleet:
1. Go to fleet view
2. Click and drag units to reorder
3. Order affects:
- Customer booking page
- Search results
- Admin displays
### Best Practices for Ordering
1. **Most popular first** - Higher booking rates
2. **Newest units first** - Showcase latest inventory
3. **Price order** - Low to high or high to low
4. **Capacity order** - Small to large
## Advanced Unit Features
### Multiple Identical Units
When you have several identical units:
- Set quantity instead of creating duplicates
- System manages individual availability
- Customers see total available
- Simplifies management
**Example:** 4 identical jet skis
- Create one unit with quantity: 4
- Not 4 separate unit entries
### Location Assignment
If you have multiple locations:
1. Units are assigned through fleet
2. Can be available at multiple locations
3. Different pricing per location possible
4. Availability tracked separately
### Custom Content
Override AI-generated content:
1. Edit any field directly
2. Use rich text editor for formatting
3. Add:
- Bullet points
- Bold/italic text
- Links (use sparingly)
- Line breaks
### SEO Optimization
Each unit has its own page with:
- Unique URL slug
- SEO title
- Meta description
- Structured data
- Social sharing tags
## Maintenance and Downtime
### Temporary Unavailability
For maintenance or repairs:
1. **Option 1:** Block dates in calendar
2. **Option 2:** Reduce available quantity
3. **Option 3:** Archive unit temporarily
### Permanent Removal
When retiring a unit:
1. Complete all active bookings
2. Archive the unit (don't delete)
3. Preserves booking history
4. Update fleet quantity if needed
## Common Scenarios
### Adding Similar Units
For units with minor differences:
1. Add first unit completely
2. Use as template
3. Modify only what's different
4. Speeds up data entry
### Seasonal Equipment
For seasonal rentals:
1. Use timeslot valid dates
2. Set availability windows
3. Units auto-hide when out of season
4. No manual intervention needed
### Special Features
Highlight unique features:
- In the key features section
- In the description
- With specific photos
- Helps justify premium pricing
## Troubleshooting
### "Unit Not Showing on Website"
**Check:**
- Unit is published (not archived)
- Fleet is published
- Has active timeslots
- Has available dates
- Location is published
### "Can't Add Photos"
**Solutions:**
- Check file size (max 10MB)
- Verify format (JPG/PNG)
- Try different browser
- Clear browser cache
### "Content Not Generating"
**If AI content fails:**
- Check internet connection
- Try regenerating
- Write content manually
- Contact support if persistent
### "Wrong Capacity Showing"
**Remember:**
- Capacity is per individual unit
- Not total across quantity
- Update if specifications change
